Job Description:

Spectrum Healthcare Resources has an opportunity for a civilian Office Clerk at Walter Reed Army Medical Center in Bethesda, MD.

The position offers:

Full-time Position with Monday through Friday hours

The position requirements are as follows:

High School Diploma or GED
At least 1 year of experience in medical office scheduling, in an office setting

The primary responsibilities include:

Provide clerical/administrative support. Responsible for full range of receptionist, record-keeping, miscellaneous clerical duties, and other duties as assigned.
Schedule appointments in Composite Health Care Systems (CHCS/AHLTA) or MHS GENESIS for specialty and sub-specialty medical care. Ensure eligibility for care and contact Patient Administration for verification when necessary.
Call patients to schedule, reschedule, and/or cancel appointments as needed, to include appointments for consult/referral specialty care within the MTF. Maintains patient confidentiality.
Process and maintain inpatient, outpatient or ambulatory procedure unit medical records. Compiles or extracts medical records data to ensure compliance with regulatory requirements.
Receive patients and visitors as the initial point of contact, in person or telephonically. Obtain identifying information and determine the nature of the visit/call. Record and relay messages and/or redirect calls, as necessary.
Ensure the patient completes all necessary forms prior to being seen by the provider.
Provide information regarding unit, clinic, and hospital policies, procedures, and locations to patients, family members, staff, etc., or refer to other resources for difficult questions or concerns.
Monitor and communicate delays in scheduled appointments to the appropriate staff and patients.
Attempt to resolve complaints of a local administrative nature, and refer other complaints to the appropriate authorities.
Enter, manipulate, and/or retrieve information and data from automated systems, as appropriate to the area assigned.
Ensure all beneficiaries, excluding active duty, complete DD Form 2569 Third Party Collection Program - Medical Services Account - Other Health Insurance annually.
Release and maintain automated master appointment schedule ensuring required appointment access is available at all times; coordinate appointments daily and process unexpected changes of provider schedules/rescheduling.
Responsible for the central management of scheduling appointments; maintaining the automated database, purging outdated schedules/templates, merging templates, inputting templates, and creating schedules; modifies schedules and reports as necessary to accommodate walk-in and telephone consults.
Utilize government computer system tools and standard protocols and procedures (detail codes, freezing slots, and TRICARE on-line usage) to facilitate maintenance of appointment slots, rescheduling options or cancellation processing.
Maintain all patients' records, electronic or paper, according to regulation ensuring each entry contains proper patient and health care provider identification. Correctly file original medical documentation in the patient record, and copies of medical documentation into research files as necessary.
Perform Quality Assurance monitoring, using appropriate tools regarding the completion and contents of the patient record. On patient discharge, transfer, or completion of appointment verify and assure that the record of the patient treatment is administratively complete.
Responsible for the clerical duties inherent in the admission, care, and discharge of inpatients or the in processing, care, and out processing of outpatients and guests. Notify appropriate staff of the patient's arrival.
Reconcile end-of-shift/end-of-day processing and reports.
As required, type routine correspondence, progress reports, medical statements, memoranda, and statistical reports using various automation systems and programs.
Review, appoint, and book all consults using the appropriate booking module; coordinate with providers and verify accuracy of provider schedules to prevent miss-booking and surgical conflicts; ensure all appointments are timely and in accordance with the request of the Chief.
Coordinate with the coding department to correct misappropriated codes are updated into CHCS.
Submit required reports to the chief, clinic manager, and/or business manager as requested using ADS and CHCS data reporting menu.
Respond to emergency calls, and notify emergency medical personnel. Operate emergency phone lines, public announcement systems, and emergency alarm systems.
Clearly communicate with patient and associated parties during emergency related operations.
