Job Summary

This position reports directly to the Sr. Manager - Finance and is responsible for Tell Manufacturing's Cash Collection activities and monitoring Customer Financial Health, keeping clean and accurate Customer accounts. Overall position objective is to maximize cash inflow by identifying and corresponding with customers whose accounts are beyond normal corporate payment terms and exceeded credit limits and make every effort to minimize past due accounts receivable balance.

Primary Duties & Responsibilities

(45%) Prioritize collection workload according to degree and amount of delinquency. Call, email, fax, and utilize any other means to contact customer regarding open items. Discuss on a regular basis with Sr. Manager - Finance any concerning accounts that collection efforts are failing on. Update Customer notes with collection call information and details utilizing the customer maintenance Notes screen.
(15%) Research and process customer deductions against invoice payments and follow-up with Customer on discrepancies. Maintain a clean aging report addressing any outlying aged items.
(10%) Cross Train and be a Backup for cash receipts applications. Cash Receipts occur in the form of Checks, Credit Cards, Automatic Clearing House (ACH) or Wire payments. Additionally, this position will cross train and be a backup for Remote Deposit Applications into Tell's Bank account.
(15%) Understand Retail Portal Sites to follow up on Short Pays, deductions, fines, etc. Issue credit when advisable and create disputes for questionable customer chargebacks.
(10%) A.) Monitoring Open orders for shipments on Credit Hold. Release Credit Holds for customers or advise customer of credit hold status and open items that need resolved B.) Create New customer account setups. Perform Credit/Financial health eligibility Checks, enter all Customer data into Sage 100 system. Periodically verify accuracy of account information and note any changes. C.) Process 1-2 credit card payments from customers on average each day and apply cash to Customer's account utilizing Payment Work Suite and Sage 100. D.) As necessary, follow up with Customer Service on Open Return Merchandise Authorizations (RMAs).
(3%) Generate, print, and email required customer statements on a monthly basis. Process any special statements requested using an Excel spreadsheet.
(2%) Match up Debits and Credits on customers that offset and complete the transaction to remove zero netted balances from aging report.
Work collaboratively with other department and take on additional duties/projects as needed to become fluent in Job Position and Cross-Train as required for backup purposes (in the role of both trainer and trainee).

Education and Experience Profile

2-3 years previous work-related experience in finance or accounting
High School Diploma or GED certification is required
Associate Degree in Accounting or Business or other relative area of study is preferred

Required Skills

Must have strong problem-solving skills and analytics. Working knowledge of accounting, high degree of accuracy and ability to multi-task.
Must be able to deal with customer communications at all levels in a Professional manner.
Must possess strong computer skills, excellent communication skills, and an understanding of various types of office equipment (i.e., Fax, Copier, Telephone, etc.)
Knowledgeable of Microsoft Office suite (Word, Excel, Outlook)
Knowledge of Sage 100 ERP is a plus.
