Job Summary
The Dental Clinic Office Coordinator is an integral part of the care team. The Coordinator assists the care team in a professional manner in the clinic setting. Responsibilities include assistance in opening clinic and closing clinic, dispersing messages, registering and scheduling patients; working with all clinic personnel to ensure an efficient and safe environment of care. The Office Coordinator is responsible for overseeing the administrative duties of the front office staff to ensure that all procedures are closely followed.
Duties and Responsibilities
The Clinic Office Coordinator performs the following duties as assigned.
Provides clinic services and acts as a backup to front office staff.
Greets patients and visitors upon arrival
Answers telephone lines promptly.
Schedules and correctly enters registration information.
Secures all necessary signatures on patient's records.
Coordinates the delivery of patient care provided by the care team.
Various secretarial duties.
Verifies insurance benefits and trains necessary information needed.
Collects patient payments and reconciles finances to software at end of day.
Schedules follow-up appointments as needed.
Participates as a team member and promotes teamwork by assisting others with patient care and department activities.
Orders and maintains adequate inventory of forms, supplies.
Learns all aspects of registration, scheduling, etc for optimal efficiency of the office.
Demonstrates strong initiative to get daily work finished and processed.
Communicates effectively with patients, physicians, providers and others.
Demonstrates accurate judgment.
Notifies Practice Manager or other appropriate management of any problems, in a timely manner and works to resolve said issues.
Assists in program development and staffing.
Provides reports to all outside agencies as required based on grant and funding needs.
Fulfills administrative coordinator duties.
Assists in maintaining an efficient, safe, secure, orderly, and aseptic environment of care for all patients and employees.
Ensures front office staff are following policies and procedures
Arranges for mail pick up and drop off
Daily Clinic Deposit
May review and correct staff timecards
May provide input on staff evaluations and disciplinary issues
Provides support to the Practice Manager and Regional Practice Manager as directed
Is familiar with and abides by OSHA Standards, Hazardous Materials, Universal Precautions, use of personal protective equipment, Evacuation, Fire, Disaster, and Safety Plans.
If bilingual, translates in Spanish between non-Spanish speaking staff and Spanish speaking patients as requested.
Performs all other duties as assigned.
Knowledge, Skills and Abilities
Required
Knowledge of protocols in general and an ability to quickly gain specific knowledge of the Clinic's current operational protocols
Knowledge of terminology and appropriate abbreviations
Ability to read and comprehend short correspondence, and memos
Ability to document, with clarity, all information relevant to a patient's needs
Ability to effectively present information in small group situations to patients, Clinic staff, and the general public.
Ability to work cooperatively with community agency personnel to coordinate services for patients
Ability to use office equipment including but not limited to computers, fax machines, telephones and copiers
Ability to prioritize and allocate resources
Preferred
Spanish speaking and writing skills
Credentials and Experience
Required
High School Diploma
Preferred
One (1) year of practice experience in a clinic office setting.
