Job Description

Medical Assistant certificate (Preferred) with at least 2 years of experience in a Primary Care setting.

PRINCIPLE DUTIES AND RESPONSIBILITIES

Schedule appointments for patients

Answer telephone promptly and in a polite and professional manner.

Ensure complete and accurate data entry during telephone patient registration process.
Schedule appointment correctly - review/confirm appointment date, time, location, and provider name with caller.
Inform caller of items to bring to appointment (including insurance card, medications, office visit fee- if applicable).
Remind caller to arrive 15 to 30 minutes before scheduled appointment to complete check in process.
Remind patients of cancellation/no-show policy.
Answer questions and offer other information, as requested, to provide patient-focused service and a positive impression of the organization
Properly transfer calls to the appropriate team member, announcing to the team member who you are transferring and why, no blind transfers.
Messages/Tasking

Ensure accurate and complete messages are taken.
Route messages/tasks to appropriate team/team members in a timely manner.
Appropriately respond to tasks list in a timely and professional manner.
Act as a liaison for the patients and Metro Family Physicians:

Direct calls to other departments as needed.
Use sound judgment in handling calls, especially with upset patients.
Understanding of when to escalate calls to physicians/practice manager/medical assistant.
Service patients

Make calls to reschedule appointments when necessary.
Provide assistance with mailings and other projects as call volume permits.
PERFORMANCE EXPECTATIONS

Maintain professionalism and excellent customer service at all times with patients, caregivers, and other staff regardless of cultural, education, socio-economic and linguistic background.
Speak clearly, distinctly and professionally on telephone and face to face patient encounters.
Maintain high level attendance pattern to ensure department is accurately covered, at all times.
Work as a team player and be willing to assist co-workers in other duties within his/her capabilities, to aid the clinic team in providing good efficient patient care.
Improve Care Team performance flow by working effectively and efficiently with minimal supervision.
Maintain open communication with all other staff.
Meet other performance expectations as conveyed by supervisor(s).
Attend and participate in clinic staff meetings and trainings: always come prepared with a notebook and a pen.
And other reasonably duties as assigned by supervisor or manager.

QUALIFICATIONS

Ability to handle confidential and sensitive information.
Ability to communicate effectively on the telephone.
Ability to relate to persons with diverse educational, socioeconomic, and ethnic backgrounds.
Ability to handle a "call center" environment, but make patient feel like the patient is calling a small physician office: work quickly and multi-task.
Ability to exercise good judgment to handle calls appropriately.
Ability to demonstrate excellent customer service.
